1. Introduction
These Terms and Conditions govern the use of transport services provided by Callans Coaches ("we", "us", "our"), a coach, minibus and taxi hire company based in Musselburgh, East Lothian, Scotland.
By making a booking with Callans Coaches, you ("the customer") agree to be bound by these terms. Please read them carefully before confirming your booking.
2. Bookings & Confirmation
All bookings are subject to availability and are not confirmed until you receive written or verbal confirmation from Callans Coaches.
• Bookings can be made by phone, email or via our online enquiry form.
• A booking confirmation will be issued once details have been agreed and, where applicable, a deposit received.
• It is the customer's responsibility to ensure all journey details (dates, times, pick-up/drop-off locations, passenger numbers) are correct at the time of booking.
• Any changes to confirmed bookings must be notified to us as soon as possible and are subject to availability.
3. Payment
• Payment terms will be agreed at the time of booking.
• For private hire bookings, full payment or a deposit may be required to secure the reservation.
• We accept payment by bank transfer, cash or card (where available).
• Invoices are due for payment within the agreed terms. Late payment may result in interest charges.
• Prices quoted are inclusive of VAT where applicable.
4. Cancellation & Refunds
Cancellations must be made in writing (email is acceptable) to

Cancellation charges apply as follows:
• More than 14 days before travel: full refund of any deposit paid
• 7–14 days before travel: 50% of the total booking value
• Less than 7 days before travel: 75% of the total booking value
• Less than 48 hours before travel: 100% of the total booking value
We reserve the right to cancel a booking in exceptional circumstances (e.g. severe weather, vehicle breakdown, driver illness). In such cases, we will provide a full refund or arrange an alternative vehicle where possible.
5. Passengers & Conduct
• The maximum number of passengers must not exceed the licensed capacity of the vehicle.
• Passengers must wear seatbelts at all times where fitted.
• The consumption of alcohol is not permitted on board without prior written agreement.
• Smoking (including e-cigarettes) is strictly prohibited on all vehicles.
• Passengers must not distract the driver or behave in a manner that endangers the safety of others.
• We reserve the right to refuse carriage to any passenger who is, or appears to be, under the influence of alcohol or drugs, or whose behaviour poses a risk to the driver or other passengers.
• Any damage caused to the vehicle by passengers will be charged to the lead booker.
6. Luggage & Property
• Luggage must be stored safely and must not obstruct the aisle or emergency exits.
• Callans Coaches accepts no liability for loss or damage to luggage or personal property left in or on our vehicles.
• Passengers are responsible for ensuring they remove all belongings at the end of their journey.
• Found property will be held for 30 days and then disposed of if unclaimed.
7. Liability
• Callans Coaches holds full public liability insurance and operates all vehicles in accordance with UK licensing requirements.
• Our liability for any claim arising from the provision of transport services is limited to the value of the booking.
• We are not liable for any indirect, consequential or economic losses arising from delays, cancellations or changes to services caused by circumstances beyond our reasonable control (including but not limited to severe weather, road closures, traffic incidents or acts of third parties).
• Nothing in these terms limits our liability for death or personal injury caused by our negligence.
8. Delays & Punctuality
• We will make every reasonable effort to ensure punctual collection and delivery.
• We are not responsible for delays caused by traffic, road conditions, adverse weather or other circumstances beyond our control.
• For airport transfers, we recommend allowing sufficient time for check-in and security. Callans Coaches accepts no liability for missed flights due to unforeseen delays.
• Customers should ensure they are ready at the agreed pick-up time. Waiting time beyond 15 minutes may be charged at our standard waiting rate.

We will acknowledge your complaint within 2 working days and aim to resolve it within 14 days. If you remain dissatisfied, you may refer the matter to an appropriate alternative dispute resolution body.
10. Governing Law
These Terms and Conditions are governed by and construed in accordance with the laws of Scotland. Any disputes arising under these terms shall be subject to the exclusive jurisdiction of the Scottish courts.
11. Changes to These Terms
We reserve the right to update these Terms and Conditions at any time. The current version will always be published on this page. Continued use of our services following any changes constitutes acceptance of the updated terms.
